Documents
All exhibitors must:
✅ Complete and submit a Risk Assessment Method Statement (RAMS).
✅ Have the correct level of insurance in place for the show.
Some, exhibitors require:
✅ RFD (Registered Firearms Dealer) documentation.
✅ CDM (Construction Design and Management) regulations paperwork.
✅ Intent to Supply (food and/or drink) for off-site consumption forms.

To exhibit at the Great British Shooting Show, you must complete a risk assessment.
Once complete, please send your Risk Assessment Method Statement (RAMS) document as a PDF to [email protected]. We will review and securely file it on your behalf.

⚠️ Failure to submit your RAMS document will prevent you from setting up or trading at the show.
If you plan to display, sell, buy or otherwise trade any firearms at the Great British Shooting Show, you must complete the necessary documentation.
Form 116A – Required for exhibitors with an RFD
• If you hold a Registered Firearms Dealer (RFD) certificate, you must complete Form 116A if you have not done so already.
• A £13 fee applies, payable by cheque to West Midlands Police.
• List all attending company representatives and servants on the form.

RFD Certificate requirements
• If your RFD certificate expires before 20/02/2027, you must renew it before the event.
• Attach a copy of your RFD certificate with your application.
• Expired RFD certificates cannot be processed, and you will not be allowed to trade.
What you need to do now
• Check your paperwork and RFD details ASAP – the sooner you check, the sooner you can sort!
• Email a copy of your RFD certificate to [email protected] for secure filing. Do not supply us with any originals or paper copies.
• Download and complete Form 116A by clicking or tapping here.
⚠️ Failure to submit your RFD certificates will prevent you from exhibiting or trading firearms at the show. Check it now, don’t chance it.
We recommend a minimum cover of £5 million in public liability insurance.
What you need to do
✅ Ensure you have valid insurance for the exhibition.
✅ Email proof of your insurance policy to [email protected] before attending.
✅ If you’re unsure about your coverage, contact your current business insurer for advice on policies.
⚠️ Failure to provide proof of insurance will prevent you from setting up or trading at the show.

What you need to know
✅ Your stand is a mini CDM site within the event CDM site, so the proper paperwork is required.
✅ Email your CDM documents, including stand and rigging diagrams, to [email protected] for review and secure filing.
✅ If you have booked a shell scheme stand, you do not need to submit additional CDM documentation.
⚠️ Failure to provide CDM documents and stand diagrams when required will prevent you from constructing your stand at the venue.
✅ Sell food for off-site consumption only.
✅ Complete the “Intent to Supply” form and submit it to the NEC by following the instructions on the form, download by clicking or tapping here.
✅ Email a copy of the completed form to both [email protected] and [email protected] for our records.
Please ensure you complete these steps as soon as possible, and remember, all food sold at the event must be sold for off-site consumption only.
If you plan to supply alcohol at the event, you must:
✅ Sell alcohol for off-site consumption only.
✅ Complete the “Intent to Supply” form and submit it to the NEC by following the instructions on the form, download by clicking or tapping here.
✅ Email a copy of the completed form to both [email protected] and [email protected] for our records.
Please ensure you complete these steps as soon as possible, and remember, all alcohol sold at the event must be sold for off-site consumption only.
Marketing
All exhibitors should feature the British Shooting Show logo and assets across their social media and marketing channels as soon as they book. This helps increase awareness of:

All stands at the Great British Shooting Show come with a shell scheme as standard, unless requested otherwise. This versatile, modular system provides a clean canvas to showcase your brand effectively. Walls are constructed from white Foamex panels, ready to be transformed. The Great British Shooting Show does not use Voyage Control.
Due to the high-security measures in place for the event, we will not be using the NEC’s Voyage Control system.
Please follow the instructions on this page instead to ensure smooth access and setup. If you have any questions, feel free to get in touch with us.
When you arrive at the NEC Campus, follow the illuminated signs for “Shooting Show” and proceed to the NORTH 12 (N12) car park.
• A British Shooting Show team member will be there to greet you and provide further instructions.

The Octanorm Shell Scheme
Stands at the Great British Shooting Show are constructed using the Octanorm Shell Scheme, provided by our partner, Anchor Exhibitions. This system offers a blank canvas for you to showcase your brand and products exactly as you desire.
Upgrade Options for Your Stand
✅ Banner Rail – Adds 0.6m vertical height on top of your fascia panel, allowing you to attach graphics or a banner. (Dimensions: Width of your stand frontage x 0.6m high).
✅ Open Corner – Where available, you can opt for two open faces on your stand. This is allocated on a first-come, first-served basis and comes with a 10% premium on your booking fee. Subject to availability.
✅ Custom Graphics – Personalise your stand with custom-printed panels. See “Stand Graphics & Printing” earlier on this page for details.

Wristbands
Your wristbands are your responsibility.
Your stand/space booking includes pre-numbered wristbands, allocated based on your floor space. If you need additional wristbands, they must be purchased in advance at an additional fee.
Lost, broken, or damaged wristbands must be replaced at £45 +VAT per wristband.
If multiple wristbands are lost or reported missing, a law enforcement officer may be sent to your stand to investigate. This measure is in place to maintain the security of the show for all involved.
Failure to comply with event security rules may result in exclusion from the Great British Shooting Show.
We appreciate your cooperation in helping us uphold the highest security standards for all exhibitors and visitors.

Hall Access and Break Down Procedure
Vehicle & Hall Access
After loading/unloading, promptly move your vehicle to allow access for other exhibitors.
Be considerate when accessing the halls and follow instructions from event officials and security.
Breakdown procedure
Breakdown will only begin once all visitors and children have exited the halls.
An official tannoy announcement will signal the start of breakdown – do not begin packing or moving goods before this announcement.
Breakdown Guidelines
✅ Remove all materials from your stand.
✅ Any waste that does not fit in a standard bin liner will incur a disposal charge.
✅ No individuals under 16 (including exhibitors’ children) are permitted in the halls during build-up or breakdown.

General show information
️️Wristbands are required for hall access.
On arrival at the venue, all exhibitors and staff must sign in at North Car Park 12 to collect their exhibitor pack, which includes your wristbands.
Wristband Guidelines
✅ All team members must wear their wristbands securely on their wrist at all times.
✅ Wristbands must be worn correctly. Failure to do so may result in denied entry to the halls.
✅ These policies are in place to ensure a safe and secure event. Your cooperation is essential.
Thank you for following the wristband procedures and helping us maintain event security.
Contractor passes are required for hall access during build-up and breakdown.
✅ These passes are valid throughout the build-up and breakdown phases and are for official contractors only.
✅ Passes will be issued during the sign-in process and must be worn at all times.
✅ If a contractor needs access during the open period, please contact the organisers’ office for assistance.
Your cooperation ensures a smooth and secure setup for the event.
All rigging and banner requests must be made in advance.
✅ Minimum notice: 4 weeks before the event.
✅ Requests must be approved by the organisers—late requests may not be accommodated.
If you require rigging or banner installations, please contact us as early as possible to ensure availability.
Business Centre
Locations: Next to Hall 9 and in the Piazza.
Services Available: Photocopying, printing, internet access, and mobile services.
Please note: This service is not operated by the British Shooting Show.
Catering
️Food & drink sales are only permitted for off-site consumption.
✅ To retail food or drink for off-site consumption, you must submit an application.
✅ Deadline: At least 28 days before the event.
✅ Submit applications to: [email protected] for review in line with food safety and licensing regulations.
Compressed Gas
✅ If you require compressed gas for your stand, you must obtain venue approval.
✅ Contact the organisers with details to request permission.
✅ All applications must be submitted in advance to ensure compliance with venue regulations.
Hospitality
✅ If you wish to host hospitality on your stand, all food and drink must be obtained via Amadeus.
✅ Exhibitors cannot bring their own food and drink.
✅ If you provide your own, Amadeus may charge corkage or concession fees, and your stand may be inspected by the venue’s food safety representative.
⚠️ Health & Safety Compliance
You may be required to provide a fridge, sinks, and hand wash basins to meet Health and Safety Regulations.
Cleaning & Sanitisation
✅ Stands will be vacuumed nightly during the show.
✅ This does not include the cleaning of exhibits or stand surfaces.

Delivery Cut Off Time:
Deliveries can take place until 08:00 each morning during show days. Once the show is open, no deliveries are permitted, and traffic marshals will turn away any goods vehicles arriving after this time.
LPG Gas
✅ LPG is not permitted within the venue without prior consent.
✅ If you require LPG for your stand, please contact the organisers as soon as possible for approval.

Hot Works Permit
✅ All hot works require venue approval and a permit.
✅ If you need a hot works permit, please contact the organisers in advance.
Equality Act Compliance
✅ Standholders must ensure accessibility for all visitors and exhibitors.
✅ Any ramp must be built into the stand and must not obstruct the gangway.
Electricity
✅ Electricity supply to exhibition stands is not included in your booking and must be booked separately with an additional cost.
✅ All connections to the mains power supply must be arranged directly with the British Shooting Show.
✅ Failure to arrange electricity through the organisers may result in no power being supplied to your stand.
Late Working
✅ If you need to work on your stand outside of scheduled hours, you must contact the organisers at the Organisers’ Office in Hall 5.
✅ Provide the following information when contacting the organisers:
- Hall Name & Stand Number
- Nature of the Work
- Additional Time Needed
- Number of People
- Designated Responsible Person (and their contact number)
Breakfast
✅ A full breakfast facility is available at ‘The Atrium’ Wetherspoons on each show open day from 07:00.
✅ Please ensure you are back on your stand by 08:30 to ensure the show opens on time.
First Aid
✅ If First Aid is required, please contact the Organisers’ Office or approach any of the NEC team for assistance with a medical emergency.
✅ An on-site medic will be available throughout the show.
Vehicles
✅ Any vehicles manufactured prior to 1984 must have minimum fuel.
✅ Fuel caps should be lockable, and a drip tray must be in use.
Security
✅ Security is provided by the organisers to prevent unauthorised access to the hall, not to secure the contents of individual stands.
✅ There will be security patrols; however, the organisers do not accept responsibility for any loss, damage, or accident.
✅ Stands should not be left unattended while the hall is open.
✅ Should you wish to book security for your stand after the hall is closed, or arrange for additional CCTV throughout the show, this can be organised through the organisers.
✅ All persons, including contractors, who need to restock in the evening must show a wristband issued by the organisers.
✅ Anyone without a wristband will be asked to leave the hall.
Hall Heating
✅ Please note that the heating of the halls will be monitored and controlled by the NEC.
✅ We do not have control over the heating.
Trolleys
✅ Trolleys are not permitted during the open hours of the show or while visitors are being cleared from the halls.
✅ Trolleys must be removed from the halls or stored safely within your stand.
Wi-Fi
✅ There is free Wi-Fi throughout the NEC, which is sufficient for general browsing only.
✅ The free Wi-Fi is not suitable for use with card machines or till systems. We recommend you use hotspot from a smartphone, or use a personal hotspot device – see your mobile service provider for details.
✅ If you require Wi-Fi for streaming services, a specific, secure, or maintained connection may be necessary.
✅ Please contact the NEC for more information.

Weaponry Displays
✅ Weapons covered by regulations within the show include firearms, replicas, deactivated weapons, swords, knives (including kitchen knives), and tools.
✅ They must be encased within secure storage and in accordance with their license.
✅ Weapons must be secured to the stand and placed away from the gangway edges. Knives must be encapsulated to ensure blades cannot be touched by the public.
✅ Any demonstrations or handling of weapons by customers should be detailed within your stand risk assessment.
✅ Any weaponry stored away from the stand must be kept in a lockable area. A lockable storage area is available via the organisers.
✅ No weaponry should be left unattended during the hall open hours.
✅ All weaponry MUST be removed from the site at the end of the tenancy. Any weaponry left will be reported to the local authority.
CDM
✅ Construction Design Management (CDM) has been in place since April 2015 within the Exhibition Industry and applies to all events in the UK where there is construction activity.
✅ It is the responsibility of the organiser to ensure that participation at the event is carried out safely.
✅ We have tried to keep the impact of CDM as minimal as possible on exhibitors.
How will this impact onsite:
✅ We have produced Site Rules and Site Information included within this manual for your review.
✅ On arrival at the NEC, there will be two CDM check-in points: one at the N10 car park and another at the Hall 5 main entrance.
✅ At these check-in points, you will be asked to review the site rules and then sign in to show that you understand and accept the conditions of the site and its associated rules.
✅ Once signed in, you will receive a wristband, which must be worn at all times during the build and breakdown of the show. The wristband allows access through any VE door within the show. Anyone without a wristband will be directed to the check-in points to register.
✅ Anyone operating in the rear of the halls at any time must wear a High-visibility jacket as a minimum. Exhibitors/contractors must provide these jackets themselves.
How does this affect exhibitors?
✅ Shell Scheme Exhibitors: This only affects you if you are planning on constructing within your shell stand. Stand dressing, placing display cases, moving furniture, etc., does not constitute construction. However, construction may be happening around your stand, so you will still need to sign in and follow site rules.
✅ Space Only Stands: These become their own mini CDM site within the main CDM site of the hall. You must ensure that someone is responsible for fulfilling any required roles.
Traffic Rules
✅ The last thing you’ll want is to be held up in site traffic or put at risk during the busy build-up, open, and breakdown times. To avoid this, please follow these simple rules, developed by our experienced Traffic and Security teams to ensure everyone can move safely and efficiently.
Please follow these key rules:
✅ Follow the instructions of Traffic or Security staff.
✅ Watch out at all times for forklift truck movements.
✅ Don’t park on red lines or yellow hatched areas unless permitted by Traffic or Security staff for loading and unloading.
✅ Never park on red hatched areas.
✅ Always wear a high-visibility bib or jacket when loading or unloading. Be seen, be safe.
✅ Failure to display a valid vehicle pass or failure to follow traffic rules may result in vehicles being removed.
✅ Our procedures are in place to ensure a smooth, safe experience for all exhibitors, so please work together to help make the show a success.

✅ To save time, avoid delays on entry, and make your life easier, please keep your official wristband securely fastened to your wrist and carry your company identification with you throughout the build-up, show open, and breakdown.

Unattended Items
✅ Please make time to regularly check your exhibitor area for unattended packages, cases, or bags.
✅ If you spot anything you don’t recognise, do not touch it. Instead, call the Venue Operations Centre at +44 (0) 121 644 6666 (internal ext. 6666), and we will check it out for you.
✅ When you leave your area each night, or in the case of an evacuation, please ensure electrical appliances are switched off.
Fire Procedure
✅ The NEC and the Genting Arena are protected by a sprinkler system and portable fire extinguishers. In the event of a fire emergency:
- Break the glass on the nearest fire alarm point (located at each vehicle entry (VE) door, in the organisers’ offices, and at key points within the hall and around the main Piazza and Atrium).
- Telephone the Venue Operations Centre on +44 (0) 121 767 3333 (internal ext. 3333), providing the location and nature of the incident.
- Calmly notify adjoining exhibitors of the situation, and if it is safe to do so, tackle the fire with an appropriate extinguisher. Remember, keep calm, follow the procedures, and help will arrive as soon as possible.
- Leave by the nearest exit.
